CHIMES consists of 4 main areas: Pupils, Teachers, Schools and Stock
Pupils - This module stores personal, school/organisation and contact details with the ability to include photo, disability and medical information, for all current pupils who are undertaking tuition or who have applied.
Student data can be entered manually or, via the EMS/ONE link (optional), and will include the Universal Pupil Number (UPN) .
Once entered into CHIMES the student's tuition/activity is recorded and managed - including individual tution, groups, performance groups, ensembles...
With CHIMES the process of assigning your services own instruments to each child is as easy as possible. The complete history of instrument loans is maintained.
CHIMES tracks the student throughout their tuition including applications to attend activities, monitoring of attendance, recording examinations undertaken and results achieved, with the ability to produce certificates.
Wider Opportunities recording and tracking is completely automated. Using simple Excel lists of children in a particular form/year CHIMES assigns the children - on the click of a button - to the relevant tuition. It is simple then to report on children who subsequently continue with Wider Opps Plus or take tuition through the service's normal route.
Teachers - This section manages every aspect of employment, contact information, qualifications and CRB checks.
Once entered into CHIMES the teacher can be associated to one or more types of tuition/activity and specialisms can be recorded.
Teacher contracts are managed on an ongoing basis and attendance, training, workshop management and lesson observations are all monitored and recorded.
Timetables are initially set up at the start of the year and automatically generate the weekly register from which the school charge and teacher pay reports are produced. These teacher timetables can be produced for either one teacher, or one school, or for all tuition.
Schools - This section stores details of any schools/sites used by your organisation, including contact information.
CHIMES manages the whole process of school charges (if applicable) and refunds if the full 34 weeks of tuition cannot be delivered.
A school/event calendar is created at the beginning of the year listing holidays and training (INSET) days. Other planned or ad-hoc closures can be managed, identifying any affected workshop/tuition activities.
Stock - This section stores all instrument stock items including quantity, availability and location.
It manages stock control and records a full history of the item including repair, maintenance and write off.
With a simple and quick search facility, items can be easily identified and assigned between store, school/site, teacher and student.
A full history and audit trail of all stock loans is maintained.
PLUS a host of management tools, including;
- Ability to link electronic documents/files to records
- More than 200 in-built, ready to use reports
- Production of statistics through the custom reports feature which allows access to all data in the system
- Full audit trail recording all data changes
